PRE-CONFERENCE EMAIL MARKETING
- BAI will send two pre-conference emails (4-weeks out and 2-weeks out) to 500 targeted contacts selected by your organization from the opt-in conference attendee list— inviting them to advance RSVP for the VIP Reception or Dinner.
- BAI will send one pre-conference email (4-weeks out) to the confirmed Industry Leader Summit registrants (SVP+ executives from the top 60 banks in the U.S.), inviting them to advance RSVP for the VIP Reception or Dinner—in addition to other Summit sessions on their agenda that require their advance RSVP.
- In addition to BAI outreach, your organization also agrees to do its own marketing outreach for the VIP Reception or Dinner—to invite your target audience as appropriate. BAI will review these communications to ensure conference branding and positioning is appropriate.
BAI will provide a weekly summary of advance RSVPs to your organization (including name, title, company, email address) at 3-weeks out, 2-weeks out, 1-week out and the day before the event.
ONSITE AT BAI RETAIL DELIVERY
- BAI will include this VIP Reception or Dinner as an item on the Industry Leader Summit agenda
- BAI will include a reminder invitation/flyer for the VIP Reception or Dinner in registration materials for those who are confirmed advance RSVPs and as capacity allows, for other invited targets from the conference list and Industry Leader Summit list. Your organization to provide copy for the communication to BAI for review/approval prior to printing. Your organization to supply this completed and printed invitation/flyer (must be sized in order to fit loosely inside a #10 envelope and sent to BAI 2-weeks out for inclusion in registration materials).
OTHER SPONSORSHIP NOTES
All BAI emails will be sent on behalf of your organization (e.g. “On behalf of conference sponsor “X”, BAI would like to invite you to….”) and request an advance RSVP via a private BAI Retail Delivery web page that BAI develops for this event. Your organization is responsible for providing copy for pre-conference emails as outlined above and BAI will use the BAI Retail Delivery Conference masthead and HTML email template for these communications. Your organization will send email copy to BAI a minimum of five business days prior to each target send date. Email copy is subject to BAI review and approval. Email copy will communicate that participation is limited to the first 100 (or # determined by your organization, or capacity of facility) to RSVP (and we will accept a higher # of RSVPs (e.g. up to 150) to account for attendees’ potential last-minute change of plans onsite).
Your organization is responsible for working directly with the restaurant/facility on all food, beverage, signage, equipment, transportation and shipping needs for this event—and will contract separately for all of these items outside of this conference sponsorship. In addition, your organization will be responsible for all expenses related to restaurant/facility rental, food, beverage, signage, equipment, transportation and shipping expenses outside of this conference sponsorship.
Offsite VIP Reception or Dinner events must be outside of official BAI Retail Delivery expo hours.
